Bound For Blue Travel Co.

Please read this Policy carefully. By accessing or using the website, submitting an inquiry, requesting travel-planning services, or otherwise providing personal information to Bound For Blue Travel Co., you acknowledge the practices described in this Policy. Where consent is required by applicable law, Bound For Blue Travel Co. will request consent before collecting, using, or disclosing personal information for the relevant purpose.

1.Scope

This Policy applies to website visitors, prospective clients, clients, travelers, and any person whose information is submitted to us in connection with an inquiry or booking. If you provide information about another traveler, you represent that you are authorized to provide that information and to receive communications concerning that traveler's trip.

2.Relationship to Other Terms

This Policy forms part of, and should be read together with, the website Terms and Conditions and any booking, supplier, payment, or service terms applicable to a particular transaction. If a supplier or third-party service collects information directly from you, that party's privacy policy governs its own collection and processing.

3.Personal Information We Collect

We collect personal information that you provide, information generated through your use of the website, and information received from authorized travel companions, our host agency, travel suppliers, and service providers.

3.1 Information You Provide

  • Contact information, including your name, email address, telephone number, preferred contact method, and best time to reach you.
  • Travel preferences and inquiry details, including desired destinations, travel dates, departure port, budget range, number and ages of travelers, cruise line or ship preferences, preferred cabin type, dining, beverage-package, casino, entertainment, accessibility, excursion, sea-day, family, and adults-only preferences, and any other priorities or comments you submit.
  • Traveler and booking information, which may include legal names, dates of birth, citizenship or residency, gender marker where required by a supplier, loyalty-program numbers, passport or other travel-document details, emergency contacts, mobility or accessibility requests, dietary needs, and information required by travel suppliers to quote, reserve, ticket, or service travel.
  • Communications and records, including emails, telephone notes, form submissions, preferences, approvals, service requests, feedback, and records of quotes and bookings.
  • Payment-related information. Payment information may be collected or processed through Outside Agents, Travefy, a travel supplier, or an authorized payment processor. We do not ask you to send full payment-card details by ordinary email or through the general website inquiry form.

3.2 Sensitive Information

Some travel arrangements may require information that is considered sensitive under applicable law, such as passport details, health, disability or accessibility information, dietary information that may reveal health or religious information, or government-issued identification data. We collect and use such information only when reasonably necessary to provide requested travel services, with your authorization, or as otherwise permitted by law.

3.3 Information Collected Automatically

When you use the website, the website and its service providers may automatically collect basic technical and usage information, such as Internet Protocol address, browser and device type, operating system, referring and exit pages, pages viewed, date and time of access, approximate location derived from an Internet Protocol address, cookie identifiers, and similar website activity data.

We may combine information collected from different sources where permitted by law, including to maintain accurate records, support a booking, prevent fraud, and improve service.

4.Cookies and Similar Technologies

The website may use cookies, local storage, pixels, logs, and similar technologies that are necessary to operate the site, remember choices, maintain security, understand basic traffic and performance, or support website functionality. Some technologies may be placed by website-hosting, analytics, form, email, or other service providers.

You may be able to control cookies through your browser settings. Blocking or deleting certain cookies may affect website features or cause parts of the site not to function as intended. Where applicable law requires a separate choice for nonessential cookies, we will provide the required notice or consent mechanism.

We do not use personal information for cross-context behavioral advertising and do not sell personal information for monetary consideration. If our practices change, we will update this Policy and provide any rights or choices required by applicable law.

5.How We Use Personal Information

We may use personal information for the following purposes:

  • To receive, review, and respond to inquiries and communicate about requested services.
  • To understand travel priorities and provide personalized research, recommendations, itineraries, comparisons, quotes, and planning support.
  • To create, modify, administer, and support reservations and bookings, including transmitting required information to Outside Agents, Travefy, cruise lines, tour operators, hotels, airlines, insurers, transportation providers, excursion operators, and other travel suppliers.
  • To process or facilitate deposits, payments, refunds, credits, cancellations, changes, and other transaction-related requests through authorized systems and providers.
  • To communicate service information, reminders, supplier notices, schedule changes, travel-document needs, payment deadlines, and other trip-related information.
  • To document instructions and authorizations, maintain business and accounting records, resolve concerns, enforce agreements, and establish, exercise, or defend legal claims.
  • To operate, secure, troubleshoot, maintain, and improve the website and our services; prevent misuse, fraud, or security incidents; and understand basic website performance.
  • To comply with law, lawful process, regulatory obligations, host-agency requirements, supplier requirements, tax and accounting rules, and valid governmental requests.
  • To send marketing communications when permitted by law and consistent with your preferences. You may opt out of promotional email at any time, although we may still send non-promotional communications concerning an active inquiry or booking.

6.Legal Grounds for Processing

Where applicable law requires a legal basis, we process personal information as necessary to take steps at your request, perform a contract, comply with legal obligations, protect vital or legitimate interests, prevent fraud, administer our business, or act with your consent. You may withdraw consent where processing is based on consent, subject to lawful retention and processing that occurred before withdrawal.

7.When We Disclose Personal Information

We may disclose personal information only as reasonably necessary for the purposes described in this Policy, subject to contractual, professional, and legal obligations. Recipients may include:

7.1 Host Agency and Travel-Management Platform

We may disclose information to Outside Agents, our host agency, and to Travelfy or other systems authorized by Outside Agents for customer relationship management, itinerary preparation, invoicing, payment facilitation, booking administration, quality control, compliance, and support.

7.2 Travel Suppliers

We may disclose information to cruise lines, tour operators, airlines, hotels, ground transportation providers, excursion operators, insurance providers, payment processors, and other suppliers when necessary to request a quote, make or service a reservation, process a transaction, accommodate a traveler, or respond to a disruption or emergency. Suppliers may use personal information under their own privacy policies and legal obligations.

7.3 Service Providers

We may use service providers for website hosting, forms, email, communications, information technology, cybersecurity, analytics, document management, accounting, professional advice, and other business functions. These providers may process information on our behalf and are authorized to use it only as permitted by their agreement with us and applicable law.

7.4 Other Travelers and Authorized Persons

When you are part of a group, household, or shared reservation, certain itinerary and booking information may be visible to the lead traveler, other travelers, or a person you authorize. You are responsible for telling us if information should not be shared with another person associated with the trip.

7.5 Legal, Safety, and Business Purposes

We may disclose information when we reasonably believe disclosure is necessary to comply with law, subpoena, court order, regulatory request, or lawful process; protect the rights, property, safety, or security of travelers, Bound For Blue, Outside Agents, suppliers, or others; detect or prevent fraud or misuse; enforce agreements; or obtain legal or professional advice.

If Bound For Blue undergoes a merger, acquisition, sale, reorganization, financing, transfer of assets, or similar business transaction, personal information may be disclosed to advisers and prospective or actual transaction parties, subject to appropriate confidentiality and legal protections.

No sale of personal information. Bound For Blue does not sell personal information for monetary consideration. We also do not knowingly share personal information for cross-context behavioral advertising.

8.Data Retention

We retain personal information for no longer than reasonably necessary to fulfill the purposes for which it was collected, provide and support travel services, maintain accurate business and financial records, comply with host-agency and supplier requirements, satisfy legal, tax, accounting, insurance, and regulatory obligations, resolve disputes, prevent fraud, and enforce agreements.

Retention periods vary according to the nature and sensitivity of the information, the status and duration of the client relationship or booking, legal limitation periods, and applicable requirements. When information is no longer required, we will delete, de-identify, or securely dispose of it in accordance with our procedures, except where continued retention is required or permitted by law. Information retained in backups may remain until the relevant backup is overwritten or expires under the applicable retention cycle.

9.Information Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, loss, or disclosure. These safeguards may include access controls, account authentication, secure systems supplied by Outside Agents or travel providers, vendor oversight, and practices intended to limit personal information to those who need it.

No website, transmission, electronic storage system, or security measure is completely secure. Accordingly, we cannot guarantee absolute security. You are responsible for using secure communication methods, protecting your devices and account credentials, and avoiding transmission of full payment-card numbers, passport images, or other highly sensitive information through unsecured email unless specifically directed to an approved secure channel.

If we become aware of a security incident affecting personal information, we will investigate and provide notices to affected individuals and authorities when required by applicable law.

10.Your Privacy Rights

Subject to applicable law and lawful exceptions, you may request to:

  • Confirm whether we process personal information about you and obtain access to that information.
  • Correct inaccurate or incomplete personal information.
  • Delete personal information that we are not legally or contractually required to retain.
  • Obtain a portable copy of certain information you provided, where required by law and technically feasible.
  • Restrict or object to certain processing, or withdraw consent where processing depends on consent.
  • Opt out of promotional communications and, if applicable, the sale of personal information, targeted advertising, or qualifying profiling. We do not currently engage in those activities.

Privacy rights are not absolute. We may deny or limit a request where permitted by law, including when information is needed to complete a booking, protect another person's rights, comply with legal obligations, maintain privileged or confidential records, prevent fraud, or establish, exercise, or defend legal claims.

11.How to Exercise Your Rights

To submit a privacy request, email info@boundforblue.com or call 303-257-8731. Describe the request and provide enough information for us to identify the relevant records. We may request additional information to verify your identity and authority before acting. An authorized agent may submit a request where permitted by law, but we may require proof of authorization and direct verification with the individual.

We will respond within the period required by applicable law. We will not discriminate against you for exercising a privacy right. If applicable law provides a right to appeal our decision, you may submit an appeal through the same contact methods and identify it as a privacy appeal.

12.Children's Privacy

The website and our services are not directed to children under 13, and we do not knowingly collect personal information directly from a child under 13 without verifiable consent from a parent or legal guardian. Travel arrangements often require information about minor travelers. A parent, guardian, or authorized adult may provide such information when necessary to plan or book travel.

If you believe a child under 13 has submitted personal information to us without proper authorization, contact us so that we can investigate and delete the information where required. We do not knowingly sell or share the personal information of minors for targeted advertising.

13.International Processing and Travel

Travel services frequently require personal information to be transmitted to suppliers, operators, or authorities in other states or countries, including destinations with privacy laws that differ from those where you live. By requesting international travel services and providing the information necessary to arrange them, you understand that such transfers may be required to fulfill your request. We will use reasonable measures appropriate to the circumstances and applicable law.

14.Third-Party Websites and Services

The website, quotes, itineraries, and communications may link to websites or services operated by Outside Agents, Travelfy, travel suppliers, insurers, payment processors, or other third parties. Bound For Blue does not control and is not responsible for the privacy, security, availability, or content of third-party services. Review the applicable third party's privacy notice before providing information directly to that party.

15.Do Not Track and Preference Signals

Some browsers transmit "Do Not Track" or other preference signals. Because no single response standard applies in all circumstances, the website may not respond to every signal. Where applicable law requires recognition of a valid universal opt-out mechanism, we will process that signal as legally required.

16.State and Other Jurisdictional Rights

Depending on where you reside and whether an applicable privacy law covers the relevant processing, you may have additional rights regarding access, correction, deletion, portability, consent, sensitive information, profiling, targeted advertising, or the sale or sharing of personal information. Nothing in this Policy is intended to limit a non-waivable right available under applicable law.

We may provide a supplemental notice or process if a jurisdiction requires information or rights beyond this Policy. We may also retain or process information under exemptions recognized by law, including information necessary to perform a transaction you requested, comply with legal obligations, protect security, maintain privileged communications, or conduct activities regulated under another applicable legal framework.

17.Changes to This Privacy Policy

We may amend this Privacy Policy from time to time to reflect changes in our services, technology, suppliers, host-agency relationship, business practices, or legal obligations. The revised Policy will be posted on the website with an updated effective date.

If a change is material, we will provide notice in a manner reasonably appropriate to the nature of the change, which may include a prominent website notice or direct communication when we have current contact information and applicable law requires it. Where consent is legally required for a new use or disclosure, we will seek that consent before applying the change to the relevant information.

Your continued use of the website or services after an updated Policy becomes effective constitutes acknowledgment of the revised notice, but does not waive any consent requirement or non-waivable right under applicable law.
